What we build

Custom AI agents, internal apps and integrations for small business.

Six kinds of builds cover most of what Tampa Bay businesses ask us for. Each one starts as one problem, ships in short sprints, and comes with the same guardrails and support. Not sure which bucket you're in? Call 813-793-4700.

Accounts payable & approvals

If someone on your team opens every vendor invoice, types it into accounting, guesses the GL code and then forwards it around for approval, that's the classic first build. The agent reads the invoice, pulls out vendor, amount, dates and line items, suggests the GL coding based on how you've coded similar bills, and routes it to the right approver.

Once it's approved, it syncs to your accounting system so nobody has to key the invoice in twice. Your bookkeeper stops being a data-entry clerk and goes back to reviewing exceptions.

  • Reads PDFs and emailed invoices
  • Suggests GL codes your team can accept or correct
  • Routes to approvers by vendor, amount or department
  • Syncs approved bills to accounting
guardrail: Money never moves without a person approving it.

AI email triage & drafting

Shared inboxes like info@, billing@ or a busy partner's mailbox are where hours disappear. This agent sorts incoming email by urgency, flags the messages that genuinely need a personal reply, and drafts responses for the routine ones such as scheduling, status questions and document requests.

Drafts land where your team can review, edit and send them. It learns your tone from examples you approve, and it never sends anything on its own.

  • Sorts by urgency and topic
  • Flags the messages that need a human touch
  • Drafts routine replies in your voice
  • Works inside Outlook and Microsoft 365
guardrail: Nothing goes out without human approval.

Dashboards & scorecards

If your weekly numbers live in four systems and one heroic spreadsheet, we can pull them into a single view. The dashboard scores performance against the goals you set, highlights what's off track, and creates action items so a red number turns into a named task instead of a shrug.

It's a natural fit for teams that run a weekly leadership meeting off a scorecard and are tired of spending the first twenty minutes arguing about whose numbers are right.

  • Combines data from the tools you already use
  • Scores results against goals
  • Turns misses into action items
  • Refreshes on a schedule, not by hand
guardrail: Read-only by default. It reports; people decide.

Budgeting & financial planning

Most budgets get looked at once a month, after the money is spent. We build tools that link your budget to actual spending in near real time and flag vendor overruns early, so a department head hears about it while there's still room to adjust.

It's especially useful for nonprofits tracking grant budgets and for firms with several cost centers that each need their own view.

  • Budget vs. actual, updated continuously
  • Vendor overrun alerts
  • Views by department, program or project
guardrail: Alerts and reports only. Changes still go through your normal approval.

Internal tools

Sometimes the right answer isn't an agent at all. It's a small internal app that replaces a messy spreadsheet or an email chain. We build intake forms, approval workflows, client onboarding checklists and reporting layers that sit on top of practice or property management systems you can't (or don't want to) replace.

These custom internal tools often use AI in small, practical ways, like summarizing an intake or pre-filling a checklist, while the app itself stays simple enough that anyone can use it on day one.

  • Intake forms that route themselves
  • Approval workflows with a clear audit trail
  • Client onboarding checklists
  • Reporting layers over existing systems
guardrail: Internal-only until it has been reviewed.
// integration

Custom integrations

A lot of wasted time is just copy-and-paste between systems that don't talk to each other. We connect Microsoft 365, Outlook and your other business tools so data moves once, correctly, and lands where your team needs it.

An integration is often the quiet foundation under a bigger build, and it's frequently the fastest win: no new screens to learn, just fewer steps.

  • Microsoft 365 and Outlook connections
  • Sync between line-of-business apps
  • Fewer duplicate entries and fewer mistakes
guardrail: Uses your existing sign-in and permissions wherever possible.

The smaller-app rule

Often the answer is a smaller app than you expected.

When people first come to us about AI app development for their small business, they usually describe something big: "an AI that runs our back office." Then we watch how the work actually happens, and the real friction turns out to be one step: the invoice that gets re-typed, the email that sits for two days because nobody owns it, the report someone rebuilds every Friday.

Fixing that one step first is faster, cheaper to change, and much easier to trust. Once it's working and your team likes it, we look at the next step. Plenty of our builds stay small on purpose, and that's fine.

Who it's for

Built for the teams we already support.

We work with the same kinds of organizations ShowTech has supported for years: nonprofits, law firms, CPA and financial firms, real estate and property management, manufacturing and education. They share a pattern: smart people, too much manual work, and no appetite for a risky science project.

If you're already a ShowTech managed IT client, your build plugs straight into the support you have. If you're not, that's fine too. We'll make sure whatever we build can be supported properly either way.

Not sure which one you need?

That's the most common answer we hear. Bring us the process, and we'll help you figure out whether it's an agent, an app, an integration, or nothing at all.
